Strong Proficiency in the following programs: Outlook, Excel, Word, Keynote, PowerPoint, and knowledge of Adobe InDesign. Demonstrate a high degree of Professionalism, Customer Focus and Organizational skills.

 

Overview: 

 

Patients and Purpose, a fast paced highly awarded full service advertising agency with a special focus on patient marketing, is currently seeking a full-time Receptionist. Culture is a huge part of who we are at Patients and Purpose and plays a role vital in the way work. With the role of receptionist you act as a voice, collaborator and “team-promoter” for the agency. 

 

The ideal candidate will be someone who is a self-directed, agile, fun and high-energy team player. The candidate will focus on providing exemplary customer service by leveraging excellent communication skills, a can-do attitude and openness to jump in to help when needed. He/she should be able to multi-task and act quickly in a fast- paced work environment. We are looking for a candidate that is eager to learn/apply new skills through a hands-on experience.

Responsibilities:

  • Welcomes visitors by greeting them professionally and always with a smile
  • Over-sees conference room scheduling, tracking all client and internal activities occurring at the agency
  • High-volume phone both internal and external
  • Coordinates and orders team lunches 
  • Compiles companywide Out of the Office (OOTO) documentation and communicates it to the agency on a weekly basis 
  • Submits expense reports and secures all travel arrangements for multiple SVPs 
  • Assists with client and internal meeting preparation, as needed
  • Contributes to new hire process and agency announcements of new hires
  • Coordinates with security and facilities to ensure a safe and aesthetically pleasing environment
  • Keeps receptionist responsibilities manual as well as templates up to date
  • Other special projects as requested by Senior Leadership or Human Resources
  • Communicates and promotes all internal agency events 
  • Manages company headshots and various aspects of company branding throughout the office
  • Works closely with Creative Assistant and Executive Assistants on various projects and needs for the agency, its SVP’s and MP’s
  • Oversees calendar for agency and manages the usage of our company Café for all internal and external events

 

Qualifications:

  • Bachelor’s degree required, recent grads preferred
  • A customer service focused attitude
  • Exceptional interpersonal skills and the ability to connect with people at all levels
  • Strong organizational skills and ability to multi-task
  • Excellent writing skills with the ability to adjust tone to meet the audience
